About the role

We are currently seeking a highly experienced Executive and Team Assistant to provide a high level of support to Directors and teams across the Business Services Division and the Services Management Division.

Your responsibilities will include, but not be limited to:

  • extensive diary management including arranging meetings, managing conflicts and providing follow up on all required paperwork prior to both internal and external meetings
  • providing administrative support to Directors across the Divisions
  • liaising with external third parties, Group Heads, Divisional leaders and other Team and Executive Assistants for the coordination of highly confidential meetings, preparation of correspondence and reports as required by the Directors
  • frequent travel arrangements; involving coordinating complex itineraries with offshore meetings
  • coordination and collation of board and committee papers
  • taking and preparing minutes of meetings
  • coordination and preparation of meeting papers ensuring adequate time for review prior to meetings
  • preparation for Leadership team meetings
  • involvement with Macquarie’s events, including social committees
  • purchase order raising, invoice and expense processing and review
  • management of business processes
  • involvement in various projects
  • administration and tracking of Division wide training and user access management activities – following up any non-compliance or untimely completion of tasks
  • arranging Division wide events and conferences
  • Co-ordination of technology rollouts across Divisions working closely with technology staff to ensure minimal impact to Division staff
  • Development of Powerpoint presentations/packs for Directors
  • Processing of starters/transfers/leavers tasks across the Divisions
  • Coordination of User Access Management reviews across the Divisions
  • Update of Bank Balance asset management system
  • Allocation of lockers to staff
  • Co-ordination of any office moves/seating arrangements
  • Review of monthly mobile phone reports to ensure leavers processes are adhered to

  • the ability/maturity to work effectively with senior management and other EAs
  • strong skills and experience across the whole MS Office suite
  • Experience with Office 365 an advantage
  • previous Executive and team administration experience at a senior level
  • experience in managing people and advantage
  • experience working in a large, corporate environment
