Position: Operations Co-ordinator (OC)

Location: Nepal

Salary: As per RIN National Personnel Regulation

Reports To: Country Operations Manager (COM)

Responsible For: Deputy Operations Co-ordinators and Volunteer staff team

Overall Purpose of the Role

The Operations Co-ordinator (OC) is part of the country staff team who are responsible for representing and delivering Raleigh International’s interests in country. Raleigh’s aim is to develop a number of long-term country programmes that deliver sustainable development through young people.
The role of OC is to support the Country Operations Manager (COM) to deliver the programmes in country. Working alongside the COM they will deliver the day to day coordination and management of the programmes including safety, logistics, transport, training, and routine management of volunteer staff and participants.

Principle Accountabilities and Responsibilities

Safety

• Support to ensure that safety standards are maintained, and Raleigh’s safety culture is communicated effectively to all staff, volunteer staff and participants in line with organisational policy
• Take lead in collaboration with COM in preparing Country Safety Documents (e.g. Risk Register, Risk Assessment, Contingency Plan, Crisis Management Plan, Sexual Assault Plan, etc)
• Take lead in community selection from operations perspective (safety and security, and risks assessments) and ensure the quality of all safety systems
• Take lead in trek route identification; conducting Recce; preparing route card, risk assessment and casualty evacuation plans
• Take lead in trek Guide selection, orientation, supervision, and coordination among the trek guide, VMs, Logistic and Finance Teams
• Help ensure that optimum back-up is planned and provided for evacuation and medical support to project sites in line with policy and best practice
• Crisis Management – assist with the coordination and day to day management of the plan and response to incidents supported by COM and Raleigh London Office
• Duty Manager – form part of a rotating team responsible for the out of hours duty call system
• Safeguarding – assist with the coordination and day to day management of response and support to incidents supported by COM and Raleigh London Office

Staff and Volunteers

• Take lead in managing and supporting the volunteer staff so that they can achieve Raleigh’s aims. This will include team-building, briefing, providing advice and guidance, and giving practical and moral support and supervision
• Take lead on planning, organization and delivery of relevant aspects of volunteer staff training
• Participate and/or undertake support visits to placements as assigned

Administration

• Contribute to and ensure effective, timely and efficient communications with Raleigh International Nepal’s various Departments and Head Office
• Manage day to day communications with project sites and volunteer teams as assigned
• Take lead in compiling, analysing and reporting Volunteer feedbacks throughout the placement with recommendations for further improvements
• Assist with the quality assurance (e.g. QAH, BS8848) of all administration and record keeping.
• Take lead in managing the Raleigh House and its smooth functioning.

Programmes

• Work within a team of staff and volunteers to deliver the Country Strategy 2017-2020 within the spirit of Raleigh’s vision, mission, values and ethos by maximising the development opportunities and experience for all-volunteer staff and volunteers
• Assist with operational project planning, reporting and management under the guidance of COM/Country Director
• Communicate with partner NGOs and other stakeholders as assigned to maintain healthy relationship and to ensure the operational delivery of projects and individual team placement.
• Proactively engage in the recruitment, assessment and selection and pre and post training for the National Volunteers so they have an equitable contribution and outcomes to the International Volunteers
• Proactively support volunteer staff and volunteers in the development of team and support plans and reporting against them
• Contribute to planning and delivery of other organisational activities and events as of the organisational needs and as assigned by line manager/CD

Person Specification

Essential

• Commitment to the aims, ethos and culture of Raleigh International
• Previous Raleigh experience as a staff member or senior volunteer position
• Strong people management skills and experience of managing groups of between 40 and 120 staff/volunteers
• Experience of working with and motivating volunteers from different backgrounds, nationalities and ages
• Experience of working in a multi-cultural, multi-ethnic and diverse environment.Experience of working with and developing young people
• Demonstrable competencies on people focused excellent communication, facilitation and diplomatic skills, with the ability to lead by example, demand excellence and adapt their leadership style to the situation.
• Evidenced ability to motivate and support staff to achieve success consistently.Have high levels of integrity and sound judgement
• The ability to deal with conflict and overcome challenges
• Excellent planning and organisational skills with the ability to prioritise and organise a heavy workload, work autonomously on own initiative both reactively and pro-actively
• Language – fluent in oral and written English
• Excellent interpersonal and communication skills; both written and verbal
• Ability to work collaboratively with volunteers and peers and under the direction of the COM.
• Good IT literacy (Microsoft Office suite and databases)
• Commitment to work on call, staying at the Volunteer house if required, during the employment period
• Willingness and ability to frequently travel to remote areas and stay in the community and training centres along with the volunteers

Desirable

• Strong project planning skills and a proven track record of project delivery.
• A good understanding and experience of international development, environmental and sustainable development issues and the ability to enthuse others on the issues and contribute to strategic planning.
• Experience of budget management.
• Experience of working long hours required to achieve the aims and objectives of the role.

Other Information

Holiday entitlement

As per the Raleigh International Nepal National Personnel Regulation, the holiday entitlement for full-time staff is 25 working days per year, plus 13 public holidays.

Office hours

• Normal office hours are Monday to Friday, 9.00 am – 5.00 pm.
• However, weekend, early morning and evening working may be required in the following circumstances: to attend events and meetings; meet the deadlines; and emergency situations. The salary and benefits for the position is therefore accordingly pitched by taking above considerations.
